We accommodate our travelers’ dietary needs. Whether you require (vegetarian, vegan, gluten-free, kosher, halal), or have specific allergies or restrictions.

We just ask that you let us know your dietary requirements at the time of booking so we can make all the necessary arrangements in advance with our local partners, lodges, and guides to ensure your meals are safe, suitable, and enjoyable throughout your journey.

We offer a wide range of experiences — from relaxed wildlife safaris to more physically demanding adventures like Mount Kilimanjaro treks. For most of our journeys, you don’t need to be an athlete — just reasonably active, comfortable with walking and being outdoors, and open to occasional uneven terrain.

For more active adventures, such as gorilla trekking or high-altitude climbs, we recommend a moderate to high level of fitness. Our team will guide you through the physical demands of each itinerary and help you choose a trip that suits your comfort level.

It all comes down to your interests, comfort level, and how you like to travel. We make that process easy and personalized.

A double-sharing room occupancy means two guests share the same room, typically with one of the following sleeping arrangements:

Types of Double-Share Rooms

Double Bed:

  • One large bed (usually a queen or king) shared by two people.
  • Ideal for couples or close companions.

Twin Beds:

  • Two separate single beds in the same room.
  • Perfect for friends, siblings, or solo travelers sharing a room but wanting their own space.

Key Things to Know

  • Shared room:
    The total cost of the room is split between the two occupants, making it more economical than booking separate rooms.
  • Booking with a Companion:
    If you’re traveling with a friend, partner, or family member, you can request to share a room when booking.
  • Solo Travelers:
    If you’re traveling solo and choose to be matched with another solo traveler of the same gender to share a room, many tour companies (including IntelSafari) offer this option to avoid a single supplement.
  • Private Single Room Option:
    If you prefer not to share, you can usually request a single room for an additional fee (called a single supplement).

We recommend booking your trip 6 to 12 months in advance — especially if you’re planning to travel during peak seasons or want to secure space at high-demand lodges and camps. Here’s why:

6–12 Months Ahead (Highly Recommended)

  • Best selection of accommodations and safari camps
  • Availability on popular routes, especially for Kilimanjaro climbs or Great Migration safaris
  • More time to prepare (visas, vaccinations, training for trekking, etc.)
  • Early booking discounts may apply

3–6 Months Ahead (Still Possible)

  • Good for shoulder seasons or flexible travelers
  • Fewer options for popular lodges and experiences
  • Best to confirm quickly once you’ve chosen your travel dates

1–3 Months Ahead (Last-Minute Travel)

  • We can still create a fantastic trip, but options may be limited
  • Ideal for short getaways or if you’re open to alternative routes or accommodations

Special Note for Group or Holiday Travel:

If you’re traveling over Christmas, New Year, or summer holidays (June–August), book at least 9–12 months in advance.

What’s Not Typically Included

 Not so much:

  • Flights- International airfare (unless arranged upon request)
  • Some meals – you’ll find a breakdown of how many meals are included (breakfasts, lunches, and dinners) on each trip
  • Travel insurance (highly recommended), we do not sell insurance as we prefer to leave this open for you to find a policy that best suits you and your travel plans. We can recommend some options if you would like
  • Visa fees – if applicable to the destination
  • Gratuities for guides and staff
  • Extras– Optional excursions or add-ons not listed in your final itinerary
  • Personal expenses (e.g., laundry, drinks not included in meals)

Yes, a deposit is required to secure your booking. Once you’re satisfied with your itinerary and ready to confirm, we’ll request:

  • A trip deposit, plus
  • Full payment for any services that must be secured immediately, such as internal flights or special permits.

The remaining balance is typically due 100 days prior to departure. In some cases—particularly for travel during the Festive Season or peak demand periods—we may request an earlier final payment.

If you are booking an adventure that is less than 100 days from departure, you will be required to pay the full amount at the time of booking.

How much is the deposit?

Deposits are £200/ US $300/ €250/ CA $350/ AU $400 and are non-refundable. However, deposits are transferrable up to 60 days before departure.

We strongly recommend purchasing comprehensive travel insurance at the time of booking. Life can be unpredictable, and travel insurance offers valuable protection in case you need to cancel or adjust your plans unexpectedly.

If IntelSafari must cancel your trip for any reason, we are committed to offering flexible and fair solutions. You will have the option to choose one of the following:

  • A complimentary transfer to a future departure of the same destination
  • A complimentary transfer to a future trip of equal value in a different destination
  • A full refund, processed within 14 days

Your satisfaction and peace of mind are our top priorities.

Fees and Cancellations

If you choose to cancel your booking, charges will apply based on how many days before the tour start date the cancellation is made:

  • 90+ days: Retention of deposit
  • 45–89 days: 50% of the tour balance or deposit—whichever is greater
  • 30–44 days: 75% of the total tour cost
  • 0–29 days: 100% of total tour cost (non-refundable)

Can I Transfer My Booking?

Yes, we offer the flexibility to transfer your booking to a different date or adventure if your current tour is 60+ days away from departure.

Transfer Fee:

A $95 USD administration fee (or equivalent in your currency) will apply to all booking transfers.

Our local suppliers require this charge to cover the time-intensive administrative process involved in transferring your booking—similar to changing airline or train tickets.

Flights & Airport Transfers:

International Flights
International airfare is not included in our tours. Since our travelers join us from all over the world, everyone books their own flights and meets on Day 1 of the adventure. Need help choosing the best route? Our team is happy to assist you with advice or recommendations. We also suggest using tools like Skyscanner or Google Flights to compare fares.

Domestic Flights
Where internal flights are essential to the journey, we include them in your trip package. Otherwise, we aim to minimize air travel to give you more time to explore on the ground.

Arrival Transfers

  • If you arrive on Day 1 of your tour or book a pre-night at the same starting hotel, your airport transfer is included.
  • If you stay elsewhere before the tour or arrive by other means, you’ll need to arrange your own transfer.

Our transfers are private and reliable, though you may be grouped with fellow travelers arriving around the same time. A short wait at the airport might be required.

Booking Your Adventure
Please ensure you book your trip using your full name as it appears on your passport. These details are used to confirm all arrangements—including internal flights—so accuracy is essential.

Passport Validity
We recommend that your passport is valid for at least 6 months from your departure date.

Entry Requirements
Visa and entry requirements vary depending on your nationality and destination. We strongly recommend checking the official government travel advice for your country well in advance to avoid any issues at immigration.

Travel insurance is mandatory and forms part of your contract with IntelSafari. You are responsible for securing a personal insurance policy that covers you for the entire duration of your trip.

What Your Insurance Must Cover:

  • Personal accident, injury, and emergency repatriation
  • All medical costs, including Covid-19 coverage
  • Trip cancellation (pre- and post-departure, including for Covid-19)
  • Trip curtailment and travel delays
  • Baggage loss, theft, or damage
  • All activities listed in your itinerary
  • Pre-existing medical conditions (if applicable)
  • Personal liability (optional but recommended)

If you’re traveling within your home country, please confirm that your policy includes emergency medical coverage.

When to Purchase Travel Insurance:

You should purchase your policy as soon as you’ve:

  • Paid in full for your IntelSafari trip
  • Booked your flights

Note: Most policies have a 24-hour waiting period before they become active, so plan ahead.

Important Reminders:

  • Ensure no exclusions apply to the activities on your trip (e.g., hiking, safaris, extreme sports).
  • Declare any underlying medical conditions and optional adrenaline activities for proper coverage.
  • If using a credit card insurance policy, confirm that it meets all requirements and provides:
    • A valid policy number
    • A 24/7 emergency contact number

This is submitted through your onboarding checklist and is mandatory before departure.

As of 2024, IntelSafari no longer requires proof of Covid-19 vaccination or a signed Travel Well Pledge for participation in our tours. However, this policy is subject to change based on global health developments or local regulations.

Guest safety remains our top priority. While traveling with IntelSafari, all guests are expected to follow local health and safety protocols as required by public health authorities or our supplier partners.

To support the well-being of fellow travelers and the communities we visit, we encourage everyone to:

Once your final payment has been received and processed, you’ll receive a comprehensive tour package by email. This package includes:

Additionally, around 30 days before your adventure begins, your full itinerary will be available, keeping everything you need at your fingertips.
